The Department of Corrections, Division of Institutions, is recruiting for an Office Assistant 2 position at Highland Mountain Correctional Center (HMCC) in Eagle River, Alaska.

What you will be doing:
The Office Assistant 2 at Hiland Mountain Correctional Center provides clerical support for staff, volunteers, the public, and inmate population in a variety of ways. Examples of some of the job duties include: processing timesheets; coverage as needed for mail processing and screening for contraband; generating unauthorized mail notices; coverage of courier duties as needed; counting and verifying cash and checks; data entry; receptionist duties; sorting, copying and daily distribution of in-house documents; monthly copier counts and arranging service on copy machines; inventory tracking, and other duties as assigned.

The successful candidate will join an administrative team of five people. Our group provides varied administrative services to keep our facility operating in an organized manner and running as smoothly as possible. This group is the first line of defense against dangerous security threats and contraband entering the facility through the mail screening process. As well, this crucial position ensures staff safety by issuing and maintaining equipment and inventory while tracking and protecting the assets of the State of Alaska.

The working environment you can expect:
Hiland Mountain Correctional Center is the State of Alaska's dedicated facility for housing female prisoners. Located in Eagle River, Alaska, it is a peaceful, private, heavily-wooded setting, with breathtaking views of the Chugach Mountains. The institution includes 11 buildings, containing approximately 120,000 square feet of space. It sits on 62.7 acres of land adjacent to Eagle River, Alaska. It has the capacity for approximately 400 prisoners.

Who we are looking for:
  • Must be punctual, dependable, and reliable, demonstrate excellent attendance, and be able to work independently as well as part of a team
  • Must be an proficient user of Excel, Word, and Outlook as it applies to a business setting and office environment
  • Experience in cash handling and excellent customer service to include the ability to communicate effectively, both verbally and in writing, with a variety of personalities, cultures, and attitudes
  • Experience in inventory control, keeping stock of frequently-used items, receiving supplies, and distribution of supplies and correspondence
  • Use a state vehicle to provide backup for courier service as needed
  • Must have excellent organizational and problem-solving skills
  • Experience with accurate data entry
Driver's License is required for this position.

Minimum Qualifications

High school diploma or the equivalent.
One year of experience that includes clerical tasks such as greeting clients, answering phones, typing, filing, sorting mail, entering data, receiving payments, making change, or maintaining logs.

Education from an accredited college may substitute for the required experience (3 semester hours or 4 quarter hours equal one month of experience; 150 hours of vocation education equal one month of experience).

Special Note:
"High school diploma equivalent" means one of the following: 1) a G.E.D.; 2) completion of any basic adult education course equivalent to 480 class hours (16 weeks at 30 course hours per week); 3) acceptance in full standing by an accredited college or university; 4) highest grade of school completed plus an amount of paid or volunteer experience that totals 12 years and includes basic clerical tasks such as greeting clients, answering phones, typing, filing, sorting mail, entering data, receiving payments, making change, or maintaining logs.

Some positions in this class may require the incumbent to operate motor vehicles. Such positions require that the applicant possess a regular driver's license and be 18 years of age or older.

Some position in this class may require skill in typing. Recruitment and selection may include this requirement.

Additional Required Information

  • Typing and 10-Key test results. The State of Alaska Job Centers are closed to the public so they are unable to provide certified typing tests.   • Last three (3) performance evaluations. If you cannot provide three (3), please provide a written letter explaining the circumstances why you cannot provide them.
    The Department of Corrections follows and maintains federal and state requirements standards including, but not limited to, Prison Rape Elimination Act (PREA) standards which apply to all public and private institutions that house adult or juvenile offenders. PREA standards preclude the department from hiring or promoting anyone who has engaged in, or been convicted of any conduct which would violate PREA standards related to sexual assault including:
    • Sexual abuse in a prison, jail, lockup, community confinement facility, juvenile facility, or other institution;
    • Convicted of engaging or attempting to engage in sexual activity in the community facilitated by force, overt or implied threats of force, or coercion, or if the victim did not consent or was unable to consent or refuse; or
    • Has been civilly or administratively adjudicated to have engaged in the activity described above.
    If post-secondary education is required to meet the minimum qualifications, you must fill in the Education section of the application. If you have not obtained a degree, please indicate the number of units completed. Copies of transcripts are required to verify educational credentials if used to meet the minimum qualifications for a position.     Education completed in foreign colleges, universities, or high schools may be used to meet the minimum qualifications listed above. If utilizing this education, you must show that the education credentials have been submitted to a private organization that specializes in interpretation of foreign educational credentials and that such education has been deemed to be at least equivalent to that gained in conventional U.S. education programs; or an accredited U.S. post-secondary institution reports the other institution as one whose transcript is given full value, or full value is given in subject areas applicable to the curricula at the post-secondary institution or high school.
